Dear Mr. Kim,
I am writing this email regarding your request of covering for the receptionist (직급이 아닌, 실제 이름을 써주시면 됩니다. 혹은 the position of receptionist 라고 하면 괜찮고요.) during lunch for lunch time. I am very sorry for you and the receptionist, but I am not able to help her out because of my other work.
To cover the receptionist, I have to be at the reception desk to answer phone calls and help clients who visit our office from 1 p.m to 2 p.m. However, I cannot be sitting at the reception at that time. My coworker and I are preparing a proposal for a new marketing project together. We always have a meeting from 1 p.m to 2 p.m, which is exactly the same with the receptionist's lunch time. I cannot change our meeting time because that is the only time when the meeting room is available for us.
Fortunately, our data entry clerk, Anna, told me that she would like to try out the receptionist's job. (해보겠다~라기보다는 대신 서줄 수 있다~정도가 괜찮습니다.) Therefore, I would like to recommend you to talk to Anna about helping the receptionist for her lunch time. I am sure that she could do the job very well.

총평: 크게 문제가 있는 건 아니었는데, receptionist 관련해서는 조금 더 매끄럽게 이어주시는 게 좋습니다. 일반적으로 한국이든 영어든 직장에서도 저렇게 딱딱하게까지 가지는 않습니다. 제가 적어드린 the position of receptionist의 경우도, 딱 제가 넣어드린 위치 정도에만 가능하며, 나머지는 이름 or Ms.성으로 가는 게 맞습니다. 이러한 사소한 차이에도 주의해주세요!
