Spelling and/or grammatical errors in a document make its author look unprofessional and illiterate and there is nothing worse than allowing a first impression to be won that makes you appear sloppy and disinterested. A document full of mistakes will do exactly that. A lot of people do not realize how damaging a bad first impression can be and you do not get another chance to make a first impression. Therefore, every document should be carefully checked before it is distributed. In order to demonstrate the use of the spelling checker program that comes with Microsoft Word, this document has a lot of misspelled words. An automated spell check is an absolutely necessity in today’s world because most of the students do not know how to spell worth a flip. The spelling checker does not always know the spelling of proper names, such as Desire Demos and if you misspell a proper name you are out of luck. The automated grammar check will not detect every error as the previous paragraph demonstrates. The English language is just to complicate for the grammar check to detect every error, or even most errors. Hence, there is no substitution for carefully proof reading a document yourself. Note, too, that unlike the spelling check, the grammar check is subjective, and what seems appropriate to you may be objectionable to someone else. You can even check different languages in the same document as can be seen by the simple phrase below, which appears in English, Spanish, and French. Support for Spanish and French are built in no additional cost, whereas you will have to pay an additional fee for other languages. To change the language in effect, select the phrase, pull down the Tools menu, click the Language command, and then click the Set Language command. You will have to check this document using proofing tools in English, French, and Spanish. Note, too, that we entered the French and Spanish phrases without accents, trusting in the proofing tools to make the corrections. |
